PHINOK SAFARIS AFRICA TERMS AND CONDITIONS GUIDE
We aim to provide flexibility and transparency to our guests. Our cancellation policy is designed to accommodate unforeseen changes while maintaining the quality and sustainability of our tours. Please review the terms and conditions outlined below:
1. Booking Confirmation and Payment Policy
1.1 Deposit Payment:
A deposit of 60% of the total tour cost is required to secure your booking.
1.2 Final Payment:
Full payment is due 30 days prior to the tour start date. If the balance is not paid on time, your booking may be cancelled, and the deposit forfeited.
1.3 Payment Methods:
We accept payments through Cash / bank transfers. Any associated transaction fees will be the responsibility of the guest.
Phinok Safaris Africa provides transportation, accommodation bookings, meals, Trip excursions and other services in cooperation with completely independent service providers.
Programs & Packages are subject to availability and not guaranteed until confirmed. Some Hotel we work with have limited availability therefore its recommended to make reservations well in advance of your planned trip.
Should a client want to change or adjust on the program booked, Phinok Safaris Africa is happy to make the preferred adjustment where practicable and possible and confirm accordingly? Any Costs accrued due to the said changes shall be met by the client.
Phinok Safaris Africa reserves the right to change or re-adjust the itinerary program should there be need to. Any changes to the itinerary/Program will be communicated to the client as soon as possible for approval.

All Prices quoted for the Particular safaris are as per the itinerary with Inclusive and Exclusives well mentioned unless stated otherwise:
The Program Prices on the website or quoted to our clients are subject to change without notice and are not guaranteed until confirmed at booking time.
Handling Of The Tour
PHOTOGRAPHY DURING TRAVEL – Phinok Safaris Africa reserves the right to take photographs and video during the operation of any program or part thereof and to use them for promotional purposes during the program and thereafter. By Booking with Phinok Safaris Africa, guests agree to allow their images to be used in such photographs and video. Should there be guests who prefer that their images not be used are asked to identify themselves
It’s an absolute privilege to see animals in their natural habitat, we cannot guarantee wildlife or game viewing at particular times or destination. Maximum caution is required when viewing the animals and carefully follow the instructions given by either the tour guide or wildlife rangers.
A gorilla or chimpanzee permit guarantees clients will be able to track the primates in question but does not guarantee that the animals will be in plain sight.
Phinok Safaris Africa reserves the right to substitute equivalent or superior hotels. If a hotel of equivalent standard is not available We may substitute the next best quality hotel or suggest another accommodation while extra charges may apply at this.
Phinok Safaris Africa makes an extra effort to ensure that vehicles are provided in a roadworthy condition however no liability can be accepted for a puncture, breakdown, damage, or any delay as a result of the poor road conditions.
Phinok Safari Africa’s Guide/Driver(s) are the only person(s) allowed to drive Company vehicles. Decisions made by The driver guides on matters such as the route taken is final.
Online And Direct Bookings
Safari Booking Payments
The Agreed Program to underatake will be booked and confirmed only upon receipt of a 30% deposit rate. For Gorilla & Chimpanzee permits, a full advance payment of the permit fee is required in order to make the reservation.
The Balance will always be due no later than 30 days prior to start of Safari, unless agreed otherwise in Writing
All Bookings made within 30 days before arrival must be paid in full at the time of confirmation.
In Instances that the payment is not received in accordance with the above agreement, Phinok Safaris Africa reserves the right to cancel the booking.
All Payments can be made by Bank transfer(TT), VISA credit card or cash, before the start of the safari. Note that payments by VISA credit card attract a 4% service charge(Payable by the client). Credit card transactions must be made at least two months prior to the start of your safari.
Booking Cancellations and Refunds
All cancellation requests must be made in writing and shall be effective on the date of actual receipt by Phinok Safaris Africa.
The following cancellation charges apply to the basic program rate:
60 Days prior to Arrival | 10% of Program Price |
59 – 32 Days prior to Arrival | 50% of Program Price |
31 – 30 Days prior to Arrival | 75% of program Price |
Less than 30 days prior to arrival | 100% Charge |
Phinok Safaris Africa reserves the right to deduct all expenses incurred from money paid.
Gorilla permits and chimpanzee Permits, Rhinos are 100% non-refundable.
No refunds will be made for any unused services, late arrival or no-show of any of the members of the tour.
Rescheduling and Booking Modifications
We strive to accommodate changes where possible. However, changes are subject to availability and the following terms:
3.1 Changes Made 60 Days or More Before the Tour Start Date:
No additional fees for changes such as travel dates, guest numbers, or tour type, provided the modifications are of equal or lesser value.
3.2 Changes Made 30-59 Days Before the Tour Start Date:
Changes will incur a [small administrative fee] and any additional costs arising from price differences in the new booking.
3.3 Changes Made 15-29 Days Before the Tour Start Date:
Treated as a cancellation and rebooking. The standard cancellation policy will apply to the original booking.
3.4 Last-Minute Changes (14 Days or Less):
Subject to availability, changes will be treated as cancellations. No rescheduling fees will be waived unless due to medical or exceptional circumstances.
3.5 Substitution of Travelers:
A substitute traveler is allowed up to 7 days before departure, provided the new traveler meets all eligibility and documentation requirements.
4. Cancellation or Changes by the Company
While we make every effort to operate all tours as scheduled, certain situations may require modifications or cancellations:
4.1 Cancellation Due to Force Majeure or Unforeseen Events:
In the event of natural disasters, civil unrest, pandemics, or other circumstances beyond our control, we reserve the right to cancel the tour. In such cases, guests may choose between a full refund or credit toward a future tour.
4.2 Insufficient Participants:
We reserve the right to cancel tours that do not meet the minimum group size. Affected guests will be offered a full refund or a rescheduled date.
4.3 Changes to the Itinerary:
Minor changes to the itinerary (e.g., route adjustments, activity substitutions) may be made to enhance guest experience or for safety reasons.
4.4 Partial Refunds for Cancellations Mid-Tour:
If a tour is canceled mid-way due to reasons beyond the guest’s control, a partial refund will be issued based on the remaining days or activities not completed.
5. Refund Processing and Fees
5.1 Refund Method and Timeline:
Refunds are processed within 14 business days and will be made to the original payment method.
5.2 Cancellation Fees:
Any bank fees, transaction fees, or third-party service fees associated with the refund will be deducted from the final amount.
5.3 Non-Refundable Components:
Certain components, such as permits, entrance fees, and third-party services, are non-refundable.

LIABILITY
Phinok Safaris Africa cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays/cancellations or force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.
It is the responsibility of the travel agency/wholesaler to ensure that all members of the tour have the appropriate passports, visas, travel permits, health certificates and other documentation required for the safari.
Health is the responsibility of the clients to take proper medical and practical precautions in regard to health and safety. Medical advice should be sought well before traveling. Clients are strongly advised to obtain comprehensive travel insurance before coming to Uganda.
